This checklist covers everything you’re likely to need across the hiring process, from application to your first day, so you can get them ready in advance.

1. Documents Needed to Apply
Most off-campus applications only need these at the initial stage:
- Updated resume — PDF format, single-column layout, ideally under 2 pages
- Passport-size photograph — recent, light background, as per the specific portal’s requirements (some ask for exact pixel dimensions)
- Basic personal details — full name as per official ID, date of birth, contact number, email
2. Documents Needed for the Interview Stage
Once you’re shortlisted, most companies ask you to carry or upload these before the interview or on interview day:
- Class X (10th) marksheet and certificate
- Class XII (12th) marksheet and certificate
- Diploma marksheets, if applicable
- Semester-wise graduation marksheets — all semesters, not just the final one
- Provisional degree certificate or final degree certificate, depending on whether you’ve officially graduated yet
- Government-issued photo ID — Aadhaar card, PAN card, or passport
- College ID card
Keep both physical copies and clear scanned PDFs ready — some companies want physical verification, others only need digital uploads, and having both ready avoids last-minute panic either way.
3. Documents Needed for Onboarding (After You Get the Offer)
This is where most freshers get caught off guard — onboarding usually requires more documents than the interview stage, and some take time to arrange:
- PAN card — mandatory for salary processing and tax purposes; apply early if you don’t have one, since it can take a couple of weeks to arrive
- Aadhaar card — required for identity verification and often linked to payroll/PF setup
- Bank account details — a salary account is usually required; some companies help you open one, others expect you to have it ready
- Passport-size photographs — often needed again in a different format/count for company ID cards
- Address proof — utility bill, rental agreement, or Aadhaar can typically serve this purpose
- Offer letter and any signed acceptance documents — keep printed and digital copies
- Relieving letter — only applicable if you’re coming from a previous job or internship that requires formal closure
- Educational certificates (originals) — many companies do a final verification of original certificates during onboarding, separate from the copies submitted earlier
4. Background Verification Documents
Most companies run a formal background check before confirming your onboarding. Be ready to provide:
- Complete address history for the past few years
- Educational institution details for verification (sometimes including registrar contact information)
- References, if requested — usually academic or from a prior internship
A common issue here: if your name doesn’t match exactly across documents (e.g., your Aadhaar has a middle name your PAN doesn’t), background verification can get delayed or flagged. Worth checking this in advance rather than discovering it during onboarding.
5. Gap or Backlog Justification (If Applicable)
If you have an academic gap year or had backlogs during your degree, some companies ask for a written explanation or supporting documents (like a medical certificate, if relevant). This isn’t disqualifying by default — being upfront and prepared with a brief, honest explanation is generally enough.
